PANATIX is a specialized solutions and services provider in process analyzers and sampling systems. We are looking for a reliable Administrative Assistant who can take ownership of day-to-day administration, follow-ups, and internal coordination, ensuring tasks are tracked and closed properly with minimal supervision.
Key Responsibilities
- Manage daily administration tasks and ensure smooth office operations.
- Serve as the first point of contact, handling incoming calls, visitors, and messages, and routing external requests to the appropriate team member while ensuring proper follow-up.
- Track ongoing actions, follow up with internal team members and external parties, and ensure timely closures.
- Maintain structured reporting by issuing administrative updates and summaries, ensuring consistency and completeness.
- Support basic HR administration (attendance, leave tracking, onboarding coordination, employee file organization).
- Support basic accounting/admin coordination (collecting invoices/receipts, filing, organizing payment/expense documentation, coordination with accountant).
- Support logistics and procurement coordination (couriers, shipments, tracking deliveries, supplier follow-ups, document collection).
- Assist in organizing meetings, internal events, trainings, and required arrangements.
- Handle occasional outdoor assignments (banks, government entities, vendors, service providers) when needed and coordinate with any external admin agents/clerk.
- Coordinate travel logistics for team members and external visitors (hotel bookings, transport/flight arrangements when required, confirmations, itineraries, and visitor coordination).
Requirements
- Bachelor’s degree (BSc/BA) in Business Administration, HR, Accounting, Law, or a related field.
- 2+ years of experience in an administrative role (office admin / admin assistant / operations assistant).
- Strong follow-up mindset: you don’t wait to be reminded.
- Excellent organization, documentation, and reporting skills.
- Professional communication (email/phone/WhatsApp) in Arabic and English.
- Good working knowledge of MS Office (Word/Excel) and Google tools.
- High integrity and ability to handle confidential information.
- Ability to work under deadlines and manage multiple priorities.
